Enabling Structured Revenue Sharing for a Real Estate Firm
Learn how Global MLM Solution helped The Realty Firm centralize revenue sharing, streamline agent structures, and automate commission payouts, which enabled clear visibility and controlled growth across the network.
A Real Estate network built on Revenue Sharing
The Realty Firm is a Canadian multi-level revenue-sharing real estate brokerage. It operates within the residential real estate market and follows a revenue-sharing model as part of its business structure.
Project Scope: Designing and implementing a real estate revenue-sharing system. Streamline online and offline operations. Automate commission distribution and payouts.
Integrations
The Challenge
Managing operations beyond standard system flows
The Realty Firm did not operate on a single workflow. Some transactions and agent additions were handled outside the system. These actions still needed to align with commission rules and reporting. This led to operational gaps due to a lack of a proper system.
No way to log external transactions
The firm received in-person commissions that led to inconsistent system records. The client had no proper process to capture their payments or align reports with actual payouts.
Gaps in agent onboarding workflows
Agents needed to be added manually to the system. Once added, they still had to follow commission rules and appear correctly in reports.
Lack of Standardized Workflows
Operational workflows varied by team and location. This made it difficult to maintain consistency and operational governance.
Limited Visibility into Team Performance
Unrecorded transactions reduced the accuracy of performance tracking across the organization.
Project Goals
Creating a Single Flow for Manual and System Data
The client handled parts of their operations offline. Commissions were sometimes paid manually, and agents were added outside the system. However, all of this still needed to be recorded accurately within the platform. Some project goals discussed by the client were:
Centralize all Transactions
The client wanted a single place to capture every payment, including system-driven and external transactions, so records matched actual payouts.
Support Manual Agent Additions
Agents sometimes needed to be added outside standard flows. But once added, they had to function like any other agent in the system.
Ensure Consistent Commission Application
Commission rules needed to apply uniformly, even when transactions or entries were handled manually.
Implement a Structured Revenue Share Plan
The client required an 80:20 revenue share model with defined capping to control payouts and maintain financial balance.
Improve Visibility and Reporting
All activity needed to be visible in one view to help teams track earnings and review performance with confidence.
Prepare for Future Growth
As the business planned to expand across different Canadian provinces, the system had to scale without increasing operational complexity or risk.
The Solution
A Unified System for Structured and Flexible Operations
After brainstorming, the team of experts at Global MLM Solution focused on bringing manual and automated activities into one consistent system. It addresses day-to-day exceptions while preserving structure, accuracy, and visibility across the business.
Centralized transaction management
A dedicated module was introduced to record both system-driven and manually paid transactions. All required details could be captured in one place for accurate tracking.
Controlled visibility for transparency
Manually recorded payments and agent-related details were visible only to the respective agents. This ensured transparency without exposing sensitive data.
Dedicated agent onboarding flow
A separate Add Agent menu allowed admins to add agents directly into the system. All required information was captured at the time of onboarding.
Post-onboarding agent tracking
Once added, agent details could be tracked and managed within the system. This ensured consistency across reporting and operations.
Structured commission and revenue-sharing logic
Commission rules and the revenue share plan were applied uniformly, including the defined 80:20 model with capping. Under this, 80% of the commission was allotted to the agent, and 20% was retained by the client, subject to capping.
Integration of email communication via Brevo
Apart from the MLM software functionalities, the team also integrated Brevo to automate email communication. This enabled timely notifications and consistent communication with agents.
Strategy & Execution
Translating Business Needs to System Logic
After defining the solution, the team mapped the client’s workflows and exception scenarios. These requirements were translated into system logic to ensure accurate execution and consistency across the platform.
Turning Real Workflows Into Development Tasks
The team started by understanding how The Realty Firm handled agent onboarding, external payments, and commissions. These real scenarios were then broken down into clear sprint tasks and turned into system workflows.
Delivering Features in Weekly Sprints
Development moved forward in weekly Agile sprints. Each sprint focused on specific areas, such as manual transaction logging or agent management.
Building Support For Real-World Exceptions
Logic was added to handle manual entries without disrupting commission rules. This ensured accuracy even when processes did not follow standard flows.
Staying Aligned Through Regular Discussions
Frequent stand-ups and review calls kept everyone on the same page. Questions and refinements were addressed early.
Refining The Solution Through Ongoing Feedback
Client feedback was reviewed at the end of each sprint. Changes were made quickly to keep the solution aligned with expectations.
Validating With Real Scenarios Before Launch
The system was tested using real business cases. Once everything worked as expected, the platform was taken live.
Results
Clear Improvement across Operational Visibility
The implemented solution brought automated and manual data into one seamless flow. It also resulted in:
Less Manual Work and Fewer Errors
Manual entries are now captured within the system, improving accuracy in commission calculations and revenue sharing.
Faster and Smoother Agent Onboarding
Agents can now be onboarded through referral links or added directly by admins, making the onboarding process easier.
Better Visibility and Readiness to Scale
Agents and admins can now have clear visibility across different KPIs on their dashboard. The platform is also stable, scalable, and meets the client’s expectations.
